Select the Best Fundraiser that fits your organization.  Decide which fundraiser will best meet your needs and your goals.

Plan ahead! Start planning at least three to six months in advance. Select your fundraiser early to assure ample time to execute it successfully. Schedule your fundraiser to avoid competing with other groups.

It is better to have two to four GREAT fundraisers per year instead of ten mediocre fundraisers. Your donors and customers will both participate more if they know this is the only fundraiser of that season. Don't give them an excuse to toss the current fundraiser aside and wait for the next one.

Set Goals and Deadlines.  Establishing a clear financial goal is absolutely necessary if you want to achieve success. Set a reasonable dollar amount you need to earn and then decide what steps it will take to reach it. Set flexible deadlines to allow meaningful progress.

Promote,  Promote, Promote. Communicate via an email or letter with event information to each potential donor within your organization explaining your fundraising event. Spread the word to generate enthusiasm. Get everyone involved. If you can get each person to participate in some way then the goal is that much easier to achieve. Make a list of potential buyers – family, friends, co-workers, neighbors, and acquaintances. Let everyone know why you are fundraising.

Do incentives work?  While incentives do work, be careful that the incentives don't dilute the profits from your fundraiser. Make up your incentives with donated prizes or a small party, Be creative. Fundraising at an Indoor Racing Venue

Want to do Fundraising with a pure fun racing event?  Have a few closet NASCAR fans you want to invite?  There are both indoor and outdoor go-cart racing venues.  You can set-up a sponsored event and raise money for your charity or organization.  Now that you have decided on using a motorsports event to raise money here are ten steps to get started.

1. Give yourself plenty of lead time before holding your event.  You will need this time to plan, organize and promote your racing event. 

2. Define your fundraising mission statement. Sure, you want to raise money for a good cause, but your solicitation efforts need to be appealing to potential participants, donors, and sponsors.  Use the face paced nature of racing to entice your participants and sponsors.

3. Incorporate statistics, references to recent newspaper, magazine or web-based articles, quotes from interviews with persons who by their experience, studies, training, etc. are racing experts.

4. Keep in mind the nature of go-cart racing will have limitations for the participants.  Here is a typical rule set for a raceway. The minimum age to race at is 10 years old, and all racers must be at least 54” tall and ready to race with closed toe shoes.   They offer a wide variety of entertainment options for everyone to be able to enjoy themselves, these might include competitive indoor kart racing, rock wall climbing, billiards, video games and more.  Children under the age of 16 are required to be accompanied by a parent or guardian at all times.

5. Promotion and advertising will determine the success of your racing event. Post flyers at the raceway participating in your organization’s fundraising efforts. Check with local racing leagues to see if they would be willing to spread the word and/or participate.  If this is a workplace event, utilize your internal communications.  Emails and posting in newsletters as well as bulletin boards.  Contact other organizations with similar or complementary missions to ask for their assistance and support. If possible tie in advertising with sponsors or vendors you are using to put on the event.

6. Let participants, sponsors and/or donors know whether their monetary gift is tax deductible. 

7. Allow participants, sponsors and donors to give either a fixed amount or a performance-based donation (i.e., number of laps completed or races won down times a set dollar amount); also provide them with the option to keep their name and the amount of their gift anonymous. 

8. If collecting online sponsorships and donations, send an immediate acknowledgment of receipt, as well thanking them for their support. For those who want to donate by other means, allow them to specify how they want to be contacted – by email or written correspondence, and make certain that you provide these with a acknowledgment and thanks upon receipt by the same means. 

9. Provide those collecting pledges with a specific deadline date to deliver collected funds, even if their efforts to collect are incomplete – design the pledge sheet so that name, address and email information is collected when funds are pledged so that your organization can complete the collection process efficiently. 

10. Most importantly, send everyone (racers, sponsors, donors) who participated in the fundraiser a thank you letter. Send a separate and different message to anyone who volunteered or provided a service for your event.  Most importantly, don’t forget the to thank the raceway.

Three Fundraising Tips for Youth Organizations

Make sure your fundraiser is approved by your organization.  Any fundraiser that is run by any group affiliated with your organization must have permission from the proper officers so they are aware of what is going on. Most schools for example need the principal and safety office to be notified of all fundraising activity. 

Parental involvement in fundraising is a must. From phone calls, to events, to social networking, parents will needed to be involved every step of the way. At no point should children take the lead in fundraising. They can be part of the process, but direct supervision by the parents is essential. 

Never allow children to carry collected money unless accompanied by an adult. Parents should be the ones to handle any funds collected and directly pass this along to the fundraiser in charge. The sale amount can determine whether the payments will be cash or checks for the most part.  In general all checks should be made payable to the organization.  Always keep collected funds in a secure location and pass along the funds to the organization as quickly as possible.

Five More Phoenix Fundraising Tips – Part Two!

Email Request: Send an email to everyone you know explaining what you are doing, giving as much information as possible and asking for their support. 

Sponsored Events: Shave your head, swim, run, walk, parachute, persuade a hairy male to get a body wax, be silent for a length of time… anything fun!

Holiday Parties: Christmas or any large holiday is a great time to organize events and let the goodwill of the holiday do the work for you!

Weird Tie Day: Instead of a casual Friday hold an office event that is a contest with the prize fund going to your charity or organization. Get people to wear weird ties (or whatever you can come up with) to work and either charge them, or charge others to vote on which is the strangest!

Ugliest Pet Contest: Try to tie with a local vet, groomer or pet food place.  Get a couple of sponsored prizes and then put up pictures of the pets and the winner gets the first prize and on down the line.  Each vote costs a set amount or a (minimum) donation.

Remember to plan ahead, try to get pledged money from people immediately, and don't be afraid to ask!

Have a Bring a Dollar-A-Day to Work’ week: Ask your work co-workers to bring in $1 every day for a week.  That means you would have a $5 donation from everyone who participates. 

Make some noise.  Contact your local paper, radio stations and TV channels; many local reporters are always interested in a good human interest story, especially if your efforts are for a local and popular charity.

The Right Way To Fund Raise


It must be spring.  I saw some beautiful trees covered with brightly colored buds and as I leave grocery stores I hear that spring time sound “Wanna Buy Some Girl Scout Cookies?”

On Saturday I ran across a very bored looking youngish scout (around nine years of age I would guess).  She was leaning against the pillar of the stores exterior and had her scout vest pinned behind her with her hands.

She spoke so fast it sounded like “Wannabuysomegirlsscoutcookies?”  If I didn’t know what she was saying I would not have understood her at all.  She is not the first scout this year that has asked me to buy cookies and yes, I have bought boxes of Thin Mints and my real favorites Peanut Butter Sandwich cookies called Do-si-dos.

The very first ones I purchased, I mentioned to the young scout that I thought the packages were smaller this year.  While she didn’t answer me directly, I heard them speaking among themselves that they heard that before.  HMMMM

The real point is that the cookie sales are very important to Girl Scouts.  The sales raise hundreds of millions of dollars for Girl Scouting.  I would think the there would be some training in salesmanship that would help sell even more cookies.

The young scout from Saturday night broken every rule in the book of what makes an effective salesperson.  She invested her time and was trying to do her “job”.   Which simply put, is to fund raise for the Girl Scouts.  She wasn’t trained in how best to spend her time.

Her posture was wrong.  The way she was standing (leaning) physically hid her uniform that would help her presentation. She “blurted” out her message so she wasn’t effectively communicating the sales pitch (yes, it is a sales pitch).  Her message was a question that could be and was politely responded to with a “No Thank You”.

The other day I mentioned that Sales 101 was Never Ask A Question That Can Be Answered With A NO!

After many years of fundraising with Cookies, the Girl Scouts should spend a little more time on simple and proper salesmanship.  Their major fundraiser would be at least 10 to 20 percent more successful.

Never Ask A Question That Can Be Answered By “No!”

When you are selling you have several opportunities to make the sale.  In the introduction, in the message body and in the closing.

In each of those three areas never ask the prospect a question that can be answered by the word “No”.
I think some examples may be best to show what good salesmanship is like.

As your prospect approaches you your first question might be, “Would you like to buy a Sunset Coupon Book?”

Two mistakes here one you have asked a prospect a question that can be simply answered “No!”.  The second mistake is the prospect is as yet uninformed as to why the might even want to buy your Sunset Coupon Book.

Always Have A Donation Box

Here is a simple three step list of things to do when you start fundraising for your organization.

First Create a List

Create a list of friends, family, co-workers, church members, business contacts, exercise buddies, hobby contacts and people you meet at the dog park.

Work creatively on your list. Do you have neighbors, doctors, your local mechanic, anyone you know that might support your cause or charity?
